12th Annual ULS Academic Summit
The twelfth annual University of Louisiana System Academic Summit will be held on Thursday and Friday April 20-21, 2023, on the campus of Northwestern State University in Natchitoches, LA.
The Academic Summit showcases academic excellence through examples of undergraduate experiential learning at UL System Universities. Presentations will focus on outstanding projects from each university in the areas of research, service-learning, visual arts, and performing arts.
Faculty, staff, and student leaders from the University of Louisiana System are encouraged to participate and attend. Registration is required.

Oral Presentation & Guidelines
Abstract Guidelines
Abstracts must be 250 words or less in length and must be written using complete sentences in a single paragraph without headings or bulleted lists.
Abstracts must provide sufficient contextual background for the reader. The content will vary depending on the discipline, but in general should include:
- The purpose or objectives of the study.
- A summary of the methods used to collect data or the theoretical basis of the research.
- The qualitative or quantitative results based on the data or the outcomes of the theoretical analyses.
- Conclusions or a summary of research outcomes and implications.
Abstracts must be clear, concise, and complete.
Oral Presentation Guidelines
Each UL System University is invited to select 5 oral presentations for undergraduate research and 5 for service-learning.
- Undergraduate research presentations must be made by undergraduates enrolled for spring 2023. Faculty coauthors are permitted; faculty presenters are not.
- Service learning presentations may be made by undergraduates enrolled for spring 2023, but may also include both faculty presenters and coauthors.
- Team presentations are allowed in both categories.
Title of presentation should be appropriate and informative.
Oral presentations must be 10 minutes or shorter.
- A minimum of two additional minutes will be allowed for questions and room changes.
- Moderators are instructed to strictly adhere to the time schedule.
- Moderators are responsible for ensuring talks start and end on time.
- Moderators may continue accepting questions for a speaker during the room change period.
Each presentation room will have a projector, PC format computer, and projection screen. The presentation computers do not have the ability to display presenter notes in Powerpoint.
Personal laptops cannot be connected to the projector for oral presentations; however, presenters may use a laptop to follow their presenter notes.
Presentations must be saved as a Microsoft PowerPoint file using one of the following extensions (.ppt, .pptx, .pps, .ppsx).
- Prezis are not appropriate.
- Embed any videos rather than depending upon internet access.
- Bring a copy of your presentation on a thumb-drive/jump drive to your assigned presentation room 10 to 15 minutes prior to the start of your session (not prior to the start of your presentation).
- If your project included research on human participants, include your Institutional Review Board approval on one of your slides. This may be on the first slide after your title slide, on a slide in your Method section, or on a slide at the end of your presentation.

Poster Presentation Guidelines

Poster Guidelines
Each UL System University is invited to select 5 poster presentations for undergraduate research.

- Presentations must be made by undergraduates enrolled for spring 2023. Faculty coauthors are permitted; faculty presenters are not. Presenters must be present to answer questions during the entire poster session
- Team presentations are allowed.
Posters may not be larger than 48”W x 36”H in landscape orientation.
Title of the poster should be appropriate and informative.
Posters must contain title, abstract, introduction, methods, results, conclusions, and literature cited sections, or equivalent (depending on the discipline).
If your project included research on human participants, include your Institutional Review Board approval on your poster. (For example, “This project was reviewed and approved by the Northwestern State University IRB, proposal # xxx-xxx.”)
Posters must be attached to display boards using magnets. Tape and velcro are not allowed. Magnets will be provided.
Posters that do not meet these guidelines will not be displayed.

Poster Session Schedule and Set-up/Take-Down
Presenters will be assigned to one of two poster sessions. Poster display boards will be numbered. Presenters must attach posters to their assigned display board number listed in the final program.
The poster sessions begin immediately after the art reception/dinner on Thursday, April 20, 2023 in Friedman Student Union (Cane River Room and President’s Room). Those presenting in the first session may set up their posters once they are registered; the first session begins at 5:40 pm. At 6:10 first session presenters should remove their posters; second session presenters should be set up and ready to present and answer questions by 6:15. Posters must be removed at the send of the session Thursday night. Space will be provided in Morrison Hall to store your poster during the Thursday evening oral presentation session. Presenters in the third poster session should set up their posters anytime Friday morning prior to 12:20. Posters can be retrieved following lunch (which will be just down the hall).

The Performing Arts Showcase features a soloist or small student group from each of the nine University of Louisiana institutions. Music, theater or dance performances, poetry readings, or similar presentations are eligible. Please choose one performer or small group to represent your institution. A diversity of styles is welcome.
Guidelines for Entry:
For all performers:
- five minutes performance maximum
- one performance limit per university
- two minutes set up/break down maximum
- no more than ten members per group
- one microphone will be available; wireless microphones will not be available
- internet capability for the performance will not be available
- lighting changes are not available
- all entries must be performable within the limits of the Magale Recital Hall stage
- Stage crew members will assist performers with their set-up.
For music performances:
- One grand piano will be available
- Music stands and chairs will be available
- Entrants must provide their own accompanist if piano accompaniment is required
For theater performances:
- Props will not be available or allowed
For dance performances:
- A marley floor is not available. The stage floor is bare.

Visual Art Exhibition
Northwestern State University Orville J. Hanchey Gallery
The University of Louisiana System has a long history of commitment to excellence in teaching and collaboration across its institutions. Those tenets are continued in this annual event with attention to service learning, undergraduate research, and artistic creativity in one system-wide conference.
We hope that you will make the most of this two-day event, attending as many diverse presentations as possible, broadening your knowledge base, and forging new friendships with colleagues across the system.
Eligibility/Directions for Entry
Art faculty from each of the nine UL System Universities are invited to select up to five (5) works, only one per currently enrolled undergraduate student, that best represent each university’s visual arts program. Artworks created during the 2021-2022 or 2022-2023 school year by state-enrolled UL System undergraduate students, and not previously exhibited at a ULS summit exhibition, are eligible.
Once each University has selected their five submissions, a faculty representative of that university must email high quality digital images (300 dpi), a completed copy of the 2023 Art Identification Tag form, and the completed NSU Fine Arts Exhibition Loan Agreement for each piece to Leslie Gruesbeck at gruesbeckl@nsula.edu no later than Thursday, March 10th, 2023.
The Art Identification Tag must include artist’s name, title of work, medium, size, year completed, and sale price or insurance value if not for sale. This information must be provided for inventory purposes. A copy of the tag should be printed and attached to the corresponding entry.
Media Categories/Size
Submissions may include: painting, drawing, printmaking, photography, ceramics, sculpture, graphic design/illustration, mixed media, animation or digital media including video art. Artwork must be able to fit though a 70″ wide doorway in whole or in part. All 2-D artwork must be exhibition ready with D-rings and or wire. 3-D work should be stable and ready for display. 3-D works that require assembly or installation will be permitted, but must be installed by the artist one week before the opening of the exhibition. Students who wish to assemble their artwork, and or create an installation in the gallery must contact campus gallery director, Leslie Gruesbeck in advance to make arrangements.
Image Email Requirements
- Submit files in JPEG or PDF format. File size for each image should not exceed 3 MB. Image should NOT exceed 1800 pixels on the largest side.
- File name should be the name of the school in one word, i.e., underscore, student last name, underscore, and image number from the artwork identification tag (1, 2, 3, 4, or 5). Example: NSULA_Smith_1.jpg.
- Images should be emailed to Leslie Gruesbeck at gruesbeckl@nsula.edu along with the Artwork Identification Tag form and the Exhibition Loan Agreement for each piece.
- Any submitted work that differs from the digital entry, or is not ready for exhibition will not be displayed.
- Reproduction rights for artwork on display are granted where the artwork appears in normal background photographs, or used in promotion of the ULS Academic Summit or the Orville J. Hanchey Gallery at Northwestern State University.
Delivery/Return of Works
Work may be hand delivered before March 17, 2023, Monday through Thursday from 9:00am–5:00pm. Email Leslie Gruesbeck at gruesbeckl@nsula.edu to make arrangements for hand-delivered artwork.

Work must be picked up by the artist or a designated representative at the conclusion of the Academic Summit on Friday, April 21, 2023, by 4:00 pm, or by other agreed upon arrangements. Packing material will be saved and returned with artwork. The Orville J. Hanchey Gallery will return shipped artworks if arrangements are made in advance. Please submit a prepaid return shipping label. Art will be returned, packed and shipped in the packing materials that the artwork was shipped to the exhibition in. It is strongly suggested that artwork be packed in sturdy containers, with all artwork wrapped in heavy plastic sheeting. Do not use foam peanuts for packing. Artwork will be handled and packed with care, but the safe return of artworks is not the responsibility of Northwestern State University or the Orville J. Hanchey Gallery.
Art Exhibition
Artworks will be displayed in the Orville J. Hanchey Gallery, Dear School of Creative and Performing Arts, Northwestern State University March 27th – April 21st, 2023.
Gallery Hours: Monday-Friday 8am- 5pm
A reception will be held on April 20th, 2023, in the Orville J. Hanchey Gallery as part of the Academic Summit. Artists will also be recognized at the dinner that evening.
